CasePrep Asia ("CasePrep", "we", "us", or "our") operates caseprep.asia and is committed to protecting your personal information. This Privacy Policy explains what data we collect, why we collect it, how we use and store it, and your rights regarding your information.

By creating an account and using CasePrep, you acknowledge that you have read and understood this Privacy Policy.

CasePrep is operated in the Republic of the Philippines and complies with the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules and regulations. We also observe applicable data protection standards in the Southeast Asian jurisdictions where our users are located.

2. Information We Collect

Note on CV documents: Your CV contains sensitive personal and professional information. We treat CV uploads with particular care and use them solely for the CV screening and editing service you have requested.

When you use CasePrep, we automatically collect:

• Usage data: Pages visited, features used, content items viewed, session start and end times, completion status
• Technical data: IP address, browser type and version, device type, operating system
• Session metadata: Interview duration, credit consumption, session outcomes (completed, abandoned, timed out)
• Performance data: Filler word counts and timestamps, interruption events (voice sessions), silence events — derived from your session activity for evaluation purposes

2.3 Information from Third Parties

We may receive information about you from:

• Google: If you sign in using Google, your name and email address

3. How We Use Your Information

We use your personal information for the following purposes:

3.1 Delivering Our Services

• Creating and managing your account
• Processing payments and managing your credit balance
• Delivering content you have purchased
• Running AI interview sessions and generating performance evaluations
• Scheduling and facilitating consultant-led interview sessions
• Reviewing and providing feedback on your CV
• Generating and storing transcripts and recordings of interview sessions

3.2 Improving Our Platform

• Analysing usage patterns to improve content quality and platform features
• Reviewing session recordings and transcripts for quality assurance
• With your separate and explicit consent — using anonymised session transcripts and recordings to train and improve our AI models and evaluation rubrics

3.3 Communications

• Sending transactional emails (booking confirmations, feedback ready notifications, account updates)
• Responding to your support requests
• Notifying you of changes to our Terms of Service or Privacy Policy

3.4 Safety and Legal Compliance

• Detecting and preventing fraud, abuse, and unauthorised access
• Complying with applicable legal obligations
• Enforcing our Terms of Service

4. Recordings and Transcripts

CasePrep records certain sessions to deliver core features of the platform. We take the following approach to recordings:

4.1 AI Interview Sessions (Chat)

• Your written responses are stored as a transcript in our database
• The transcript is accessible to you in your account and to CasePrep administrators
• Transcripts are used to generate your performance evaluations

4.2 AI Interview Sessions (Voice)

• Your audio is transcribed in real time
• The full session is recorded as an audio file and stored securely
• The recording and transcript are accessible to you in your account
• CasePrep administrators may access recordings for quality assurance

4.3 Retention

Session recordings and transcripts are retained for as long as your account is active plus a period of [12 months] following account closure, after which they are permanently deleted. We reserve the right to retain anonymised, de-identified data for longer periods.

5. Sharing Your Information

We do not sell, rent, or trade your personal information to third parties.

We share your data only in the following limited circumstances:

5.1 Service Providers

We share data with trusted third-party vendors who process it on our behalf and are contractually obligated to protect it

5.2 Coaches

When you book a consultant-led interview session, the following information is shared with your assigned Coach:

• Your name
• The case assigned to your session
• Your session recording and transcript (post-session)

5.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or government authority, or if we believe in good faith that disclosure is necessary to protect our rights, prevent fraud, or address a security threat.

5.4 Business Transfers

In the event of a merger, acquisition, or sale of substantially all of our assets, your personal information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the platform prior to the transfer.

6. Cookies and Tracking Technologies

CasePrep uses cookies and similar technologies to:

• Maintain your login session
• Remember your preferences
• Analyse platform usage and performance
• Support marketing attribution

You can control cookies through your browser settings. Disabling cookies may affect the functionality of some features, including login persistence.

We do not use cookies to serve third-party advertising.

7. Data Security

We implement technical and organisational measures to protect your personal information, including:

• Encrypted data transmission (HTTPS/TLS)
• Encrypted storage at rest for sensitive data including CV files and recordings
• Access controls limiting data access to authorised personnel only
• Signed, expiring URLs for accessing recordings and uploaded files (not publicly accessible)
• Regular security reviews of our infrastructure

No method of transmission or storage is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately at support@caseprep.asia.

8. Data Transfers

CasePrep uses cloud infrastructure and service providers that may process or store your data outside the Philippines. Our primary infrastructure is hosted on servers located in Singapore and the United States.

By using CasePrep, you consent to the transfer of your information to these countries, which may have different data protection laws than your own. We take steps to ensure that transfers are made with appropriate safeguards in place.

9. Your Rights

Under the Philippines Data Privacy Act of 2012 and applicable laws, you have the following rights:

10. Data Retention

We retain your personal data for the following periods:

CasePrep is intended for users who are at least 18 years of age. We do not knowingly collect personal information from individuals under 18. If we become aware that we have collected data from a minor, we will take prompt steps to delete it. 12. Links to Third-Party Sites

Our platform may contain links to external websites or integrate with third-party services. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any external services you use in connection with CasePrep.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will:
